General Terms

Full Terms & Conditions
These Terms & Conditions apply to all cakes, cupcakes, wedding cakes, celebration cakes, buffets and catering supplied by Debbie’s Cakes & Catering. Bank transfer details are supplied directly on quotations, invoices or order confirmations and are not published on this website.
1. Prices
All prices are non-negotiable and are calculated according to the exact design, size, complexity, decoration, ingredients and requirements of your cake, cupcakes, buffet or catering order. Changes to the original design, size, flavour, decoration, delivery details or order requirements may affect the final price.
2. Cake Samples
Cake samples can be provided by prior arrangement and are charged at £25. Sample boxes normally include four 4 inch cakes: vanilla sponge with strawberry or raspberry jam; lemon sponge with lemon curd and zesty lemon buttercream; red velvet with cream cheese style buttercream; and carrot cake with cream cheese style buttercream. Other flavours may be available by request, but sample boxes are generally limited to four flavours.
3. Deposits
A non-refundable £25 deposit is required to secure the date of your wedding cake or buffet and will be deducted from the final balance. A further 25% non-refundable deposit is required six weeks before the venue date to allow us to purchase ingredients, materials and decorations. Celebration & Birthday Cakes: For cakes under £100, a £20 non-refundable deposit is required at booking. For cakes over £100, a 25% non-refundable deposit is required. If your deposit is not paid within one week of your quotation, Debbie’s Cakes & Catering reserves the right to cancel the provisional booking and release the date.
4. Late Bookings
Late bookings are bookings made between 1 and 10 days before the date required. In some circumstances, cake orders may be accepted the day before they are needed, provided the order is booked before 12pm and we have the required ingredients, decorations and availability. Late bookings require payment in full by bank transfer at the time of booking. Delivery slots cannot be guaranteed for late bookings, so collection may be required.
5. Payments
Payment should be made by bank transfer using the payment details supplied directly on your quotation, invoice or order confirmation. For security reasons, bank details are not published on this website. Please email, message or contact us through Facebook with confirmation of transfer so payment can be acknowledged promptly.
6. Final Payment
Final payment for wedding cakes or buffets is required no later than 7 days before the event by bank transfer. Final payment for celebration cakes is required by 12pm, two days before the cake is booked for. It is the customer’s responsibility to ensure payment is made on time, as reminders may not always be issued during busy periods. Cheques cannot be used as a final payment method.
7. Order Confirmation
Celebration and birthday cake orders must be confirmed two days before they are needed. Wedding orders must be confirmed one week before the event. We will try to contact you to confirm your order, but reminders cannot always be guaranteed. If confirmation and/or final payment has not been received by the applicable deadline, the order may be cancelled.
8. Cancellation
If you need to cancel an order, please let us know at the earliest possible opportunity. Debbie’s Cakes & Catering reserves the right to retain any non-refundable £25 date deposit and any non-refundable 25% materials deposit. If cancellation takes place less than 7 days before the event, we reserve the right to seek 100% of the order value. Cancellation must be made in writing by letter, email or private message and will take effect from the date received. If an event is postponed, we will endeavour to transfer the order if the new date is suitable; otherwise it will be treated as a cancellation. We reserve the right to cancel in very unusual circumstances beyond our control, including fire, serious illness, accident, extreme weather or other circumstances that prevent fulfilment, in which case money paid will be refunded in full.
9. Design Conditions
It is your responsibility to read and check your quotation thoroughly. Any amendments must be made in writing by email or private message. We will endeavour to adjust a design where possible, but this may not always be possible depending on notice, the nature of the request or work already completed. If changes affect the cost or preparation already undertaken, the balance will be adjusted. Each cake is made by hand, so slight variation from requested designs or supplied photographs may occur. We reserve the right to change the design if circumstances beyond our control may compromise the finished cake, such as heat or melting.
10. Chocolate Cakes
Extreme caution is recommended for cakes decorated with chocolate during warmer months, especially May to September. Debbie’s Cakes & Catering cannot accept responsibility for melting once the cake has left our possession, as we cannot control the environment, travel conditions or venue temperature.
11. Home Baked Fruit Cakes
We may agree to ice or decorate a home baked fruit cake, but not sponge cakes, subject to strict guidelines. We cannot be held accountable for flaws caused by a cake baked by someone other than Debbie’s Cakes & Catering. Please ask for advice before baking the cake.
.
12. Fresh Flowers
Fresh flowers are not included in the price unless specifically stated at booking. We can work with your florist, but you are responsible for making arrangements with them. Debbie’s Cakes & Catering is not responsible for issues with fresh flowers supplied by third parties or damage caused by arrangements placed by a florist. Some flowers may be unsuitable or poisonous, so your florist must be told the flowers are intended for use on a food product.
13. Allergies & Dietary Requirements
Please discuss allergies or dietary requirements before placing your order, especially where guests are highly sensitive to gluten, dairy or other allergens. We can make cakes using gluten-free flour and non-dairy products, but because gluten and dairy based products are also prepared in our kitchen, we cannot guarantee any product is 100% trace free. All products are supplied with an allergen card showing any of the 14 listed allergens that may be present.
14. Non-Edible Items
Most cakes contain small proportions of inedible items. It is the client’s responsibility to ensure these are removed before consumption. Examples include support dowels, ribbon, wires in sugar flowers, crystals, flower picks, flower tape and similar items.
15. Delivery Conditions
Delivery must be requested at the time of booking, as delivery slots may already be allocated. Delivery charges are area based. Local areas Horfield, Southmead, Westbury-on-Trym and Henleaze are free of charge. Other parts of Bristol are £5, Portishead £10, Clevedon and Weston £15, and Taunton, Swindon, Gloucester, Bridgwater and Cheltenham are £50. Other areas may be available by agreement. We aim to deliver in perfect condition before the event, but cannot be liable for delays caused by traffic or circumstances beyond our control. In the unlikely event of late delivery, maximum compensation is a refund of the delivery charge. A responsible person must check the cake before we leave the venue. If you collect, we are not liable for damage once the cake has left our premises.
16. Cake Setup
It is the client’s responsibility to ensure the cake table, linen, cake stand and knife are set up before our arrival. If delay is caused because these items are not ready, we reserve the right to charge delay time at £20 per hour. Please ensure the cake table is stable, especially for marquee weddings.
17. Damage
Cake decorations are delicate. Debbie’s Cakes & Catering cannot accept responsibility for damage after the cake has left our possession. If damage occurs after release, you may request a repair, which will be costed accordingly and may include transport costs.
18. Portion Guide
Portion guides are provided as guidance only. The number of portions may vary depending on how the cake is cut by the client, venue or chef.
19. Cake Storage Conditions
Cakes are baked to be fresh for the event date. We cannot guarantee quality if consumed more than 48 hours after the event. Our cakes are made with natural ingredients and do not have the extended shelf life of supermarket cakes. Freezing may preserve flavour but can affect appearance due to condensation. Food hygiene guidance recommends food is frozen for a maximum of three months. Sugar paste cakes should not be refrigerated as condensation may form and refrigeration can accelerate staling.
20. Buffet Storage Conditions
Buffets should be consumed within three hours where items are not refrigerated. We therefore need to deliver and set up buffets as close as possible to the time they are required.
21. Hire of Cake Stands & Accessories
If you hire a cake stand, decorations or accessories, a cash deposit is required before release. Deposit amounts vary depending on item value. Hired items must be safely returned within seven days. Deposits will be released once items are returned, subject to no damage or breakages.
22. Complaints Procedure
If you have concerns about your cake, please notify us upon collection or delivery so we have the opportunity to rectify the issue in time for your event. Other concerns must be made in writing with evidence of the fault included. No refunds are given due to change of mind. Refunds are at the discretion of Debbie’s Cakes & Catering.
23. Customer Acceptance
Before continuing with an order, customers must confirm they have read, understood and accepted these Terms & Conditions by completing the agreement form at the bottom of this page.
